Dropbox
How your agents answer from the documents in the Dropbox folders you select, and stay in step as those documents change.
On this page
If your teams share brochures, specifications and guides through Dropbox, your agents can answer customers from them. You select the folders the agent reads, and it answers only from what they contain. When a document is updated or a new version is uploaded, the agent's knowledge follows, so a buyer asking about a project hears what the latest brochure says.
What the connection lets the agent do
| Action | What it means for you | Example |
|---|---|---|
| Answer from your documents | The agent finds the relevant passage in your documents and answers from it | The finishes specified for a three-bedroom apartment |
| Keep in step with changes | When a document is updated, added or removed, the agent's knowledge is updated to match | A revised brochure with a new amenity list is used once uploaded |
| Answer only from approved sources | The agent answers from the material you have connected, not from general knowledge | A question about a competing project is not answered from guesswork |
| Say when the answer is not there | If your documents do not cover a question, the agent says so and offers a person | A question about changing a layout goes to the sales team |
How it connects
The connection uses Dropbox's standard API (application programming interface: the documented way other software exchanges data with it). Your Dropbox administrators approve a dedicated app with OAuth (the standard way to give an application limited access without sharing a password), and its access is limited to the folders you select. The access is read-only.
The selected documents are indexed (organised so the agent can find the right passage quickly), and the index is held in your deployment, in your chosen region. Credentials are stored encrypted in your deployment, and every call travels over TLS 1.2 or higher (Transport Layer Security, which encrypts data in transit). Your documents stay in Dropbox, and your teams keep managing them as they do today.
Permissions
| Permission | Needed for | Default |
|---|---|---|
| Read files in selected folders | Answering from your documents | Only the folders you select |
| Detect changes in those folders | Keeping in step | On for the folders you select |
| Create, edit, share or delete files | Not needed | Not granted |
The agent can only take actions your team has granted. Anything not granted cannot be invoked. See Permissions.
In practice
Sahel Crest Properties keeps a sales pack for each project in Dropbox.
- The marketing team connects the "Marina Heights sales pack" folder, which holds the brochure, floor plans and specification.
- Sara calls to ask whether the three-bedroom apartments have a maid's room. The agent answers from the floor plans and specification.
- Marketing uploads a revised brochure with a new rooftop pool. The agent picks up the change.
- When Sara asks whether she can combine two apartments, the documents do not cover it, so the agent offers her a sales consultant.
What your team controls
- Which folders the agent reads.
- Which documents are excluded within them.
- Withdrawing access, at any time, in Dropbox.
