Google Calendar
How your agents book viewings and appointments into your Google calendars during the conversation, confirm them, and reschedule them when customers ask.
On this page
When a customer agrees a time for a viewing, an inspection or a consultation, your agent books it straight into the right Google calendar while the customer is still in the conversation. The customer gets a confirmation on the channel they used, and your team sees the appointment where it already plans its day. If the customer needs to move it, they ask the agent, and the calendar updates.
What the connection lets the agent do
| Action | What it means for you | Example |
|---|---|---|
| Offer free times | The agent reads availability in the calendars you connect and offers times that work | Three viewing slots at the marina show apartment this week |
| Book appointments | The appointment is booked into the calendar during the conversation, not after it | A viewing booked for Saturday at 10am |
| Confirm the booking | The customer receives a confirmation on the channel they used | A WhatsApp message with the time and the address |
| Reschedule | The agent moves an appointment when the customer asks | A handover inspection moved to the following week |
How it connects
The connection uses Google Workspace's standard API (application programming interface: the documented way other software exchanges data with it). Access is granted with OAuth (the standard way to give an application limited access to an account without sharing a password). Your Google Workspace administrator approves the connection for your organisation, and the access is limited to the specific calendars the agent books into, such as a sales team's viewing calendar or a room.
Access tokens (the credentials the connection uses) are stored encrypted in your deployment, every call travels over TLS 1.2 or higher (Transport Layer Security, which encrypts data in transit), and the connection runs from your deployment in your chosen region. Your administrators can withdraw access at any time.
Which calendar a booking goes into follows rules set with you during implementation, such as the project, the property or the type of appointment.
Permissions
| Permission | Needed for | Default |
|---|---|---|
| Read availability in named calendars | Offering free times | Only the calendars you name |
| Create events in named calendars | Booking appointments | Only the calendars you name |
| Change events the agent created | Rescheduling | Only events booked by the agent |
The agent can only take actions your team has granted. Anything not granted cannot be invoked. See Permissions.
In practice
Sahel Crest Properties connects the viewing calendars for its marina show apartments.
- Karim calls about a two-bedroom apartment and asks to see it.
- The agent offers three free times from the marina viewing calendar. He chooses Saturday at 10am.
- The agent books the viewing, assigns it to the consultant's calendar under Sahel Crest's rules, and sends Karim a WhatsApp confirmation with the address.
- On Friday he messages to move it to Sunday. The agent checks availability, reschedules, and confirms the new time.
What your team controls
- Which calendars the agent can see and book into.
- The rules that decide which calendar each type of appointment goes to.
- Withdrawing access, at any time, in Google Workspace.
